Exhibitor Terms and Conditions for Tech Talent Live
In these terms and conditions, the term ‘Exhibitor’ means any company, firm, or person who has been allocated an exhibition package or space at theEvent, or any agent, representative, or employee of the exhibitor.
The term ‘Event’ refers to Tech Talent Live 2025 (18 June), as outlined in the enclosed literature, and where the term ‘Organisers’ appears, it refers solely to Dynamo North East C.I.C.
- INFORMATION SUPPLIED
Information supplied by the organisers in relation to any Event is accurate to the best of their knowledge and belief but shall not constitute any warranty or representation by the organisers. Any inaccuracies, mistakes, or omissions shall not entitle the exhibitor to cancel their booking.
- APPLICATION FOR EXHIBITION
(A) Application for exhibition must be made on the official booking form. The organisers may accept applications by purchase order, in writing, or accept a deposit payment in lieu of a written application, at their sole discretion, and on the understanding that the terms and conditions contained herein fully apply.
(B) Any application for exhibition, or acceptance thereof by theorganisers, shall not be conditional on the presence or location of any otherexhibitor at the same or any other Event, and any reference to suchconditionality shall not apply to any contract between the organisers and theexhibitor for Event exhibition.
- CANCELLATION OF EXHIBITION
(A) If the exhibitor wishes to cancel, written notice must be forwarded to the organisers and received by recorded delivery post no later than the dates referred to in the table below. For the avoidance of doubt, the organisers shall not be obliged to accept the exhibitor’s wish to cancel their space booking.
(B) In the event that the exhibitor either:
(i) Wishes to cancel their space booking after acceptance by theorganiser, or
(ii) Fails to meet any of the payment obligations (whether as tothe amounts or dates of payment)
Then the organisers reserve the right (but without being obliged to doso) to apply the following cancellation charges and to re-allocate theexhibition space:
Cancellation Charge
Before 15th March 2025 - 25%
16th March to 30th April 2025 - 50%
From 1st May 2025 - 100%
Notwithstanding that the organisers may re-sell or re-allocate the cancelled exhibition space after payment of the above cancellation charges, the organisers shall be under no obligation to reimburse all or any part of such charges.
- PACKAGE REDUCTION
Where an exhibitor wishes to reduce the size of their exhibition package after allocation, written notification must be received. The organisers reserve the right to apply the cancellation charges outlined above on a pro-rata basis to the area by which the original package has been reduced, and to re-allocate the exhibition space.
- EXCLUSION OF PERSONS
The organisers reserve the right to exclude or remove from the Event any persons whose presence, at the absolute discretion of the organisers, is or is likely to be undesirable. The organisers may exercise this right regardless of whether such a person is a servant, agent, or otherwise connected with the exhibitor.
- POSTPONEMENT OR ABANDONMENT
The exhibitor shall not have any claim against the organisers in respect of any loss or damage resulting from the failure to hold the Event for reasons beyond the organisers’ control. If the Event is re-arranged, postponed, or otherwise modified, the contracts for exhibition shall remain binding upon all parties, except as to the size and position of the allocated space, which may be modified or re-arranged at the organisers’ discretion.
- EXHIBITOR PACKAGE LETTING
The exhibition package is personal to the company contracting and is in no way assignable to any other person, company, or organisation. The underletting or sharing possession of any part of the exhibition space is absolutely prohibited without the prior written consent of the organisers.
- PROHIBITION OF TRANSFER
Exhibitors may not assign, sublet, or grant licences in respect of the whole or any part of the exhibition space allocated to them, nor may they exhibit or distribute any cards, advertisements, or printed materials of firms who are not bona fide exhibitors, unless they are associated with, subsidiaries of, or agents of the exhibitor and have been communicated to the organisers in advance.
- LICENSOR AND LICENSEE
On acceptance of the application for exhibition by the organisers, a contract shall exist between the organisers and the exhibitor, including these terms and conditions (subject to amendments). With regard to the space allocated, the relationship of licensor and licensee shall exist between the organisers and the exhibitors from the date the exhibitor occupies the space. In the event of non-payment of any sum due from the exhibitor, or a breach of any terms and conditions, the organisers have the right to revoke the licence and re-enter the exhibition space to remove the exhibitor and all associated persons, without prejudice to the organisers’ right to recover all sums due.
- INSURANCE
The organisers cannot accept responsibility for any consequences arising from the prevention, postponement, or abandonment of the Event. Exhibitors should secure their own insurance to cover all liabilities and risks.
- ATTENDANCE
The exhibitor acknowledges that the organisers shall not be held responsible for the failure of any contracted exhibitors or attendees to attend the Event for reasons beyond the reasonable control of the organisers.
- EVENT OPENING HOURS
Details of the Event opening hours will be provided in the Event programme.
- SIGNATORIES
The person or persons signing the exhibition application form on behalf of the exhibitor shall be deemed to have full authority to do so, and the exhibitor shall have no right to claim that such persons did not have such authority.
- EXHIBITORS' BANKRUPTCY
In the event of an exhibitor becoming bankrupt, committing any act of bankruptcy, going into liquidation, or having a receiver appointed in respect of any of their assets, the organisers reserve the right to terminate the contract with the exhibitor, and the terms and conditions regarding cancellations shall apply.
- THE TERMS AND CONDITIONS
These terms and conditions shall be construed in accordance with English law, and any disputes arising from the interpretation of these terms and conditions shall be settled by the English courts.
